Job Description: Surface Mail Process Specialist - PV System Solutions and Innovations

Position Title: Surface Mail Process Specialist, US Patient Safety
Department: PV System Solutions & Innovations
Location : South San Francisco (not remote eligible)
Reports To : PV System Solutions & Innovations Manager
Employment Type : Part-time, Monday through Friday
Position Overview: The Surface Mail Process Specialist is responsible for managing and processing all incoming and outgoing surface mail for US Patient Safety (US PS). The specialist ensures all mail items are QC’d, stamped, recorded, scanned, and forwarded appropriately according to company procedures and timelines.
Key Responsibilities:
Postal Initial Triage and Processing
On a daily basis, triage and QC all new and unread US PS follow up letters to HCPs, Patients, and Caregivers to ensure accuracy and completeness.
Mail out QC’d letters to HCPs, Patients, and Caregivers.
Mail Storage and Security
Securely store original surface mails in a box for shipment to the storage vendor .
Dispose of original mails in a confidential document shredding bin after the retention period.
Surface Mail QC
Perform daily QC tasks on the Global Safety Database.
Retrieve and log details on local tracker and scan data.
Notify Mail Center Responsible for corrections if pages are missing, illegible, or unstamped.
Escalations and Corrections
Escalate issues to the mailroom and PV Systems Solutions & Innovations Manager if mail is not batched or delivered on time.
For any corrections identified, send corrections via email with the relevant details and attachments for unstamped or improperly processed mail.
Administrative Tasks
Archive and upload the Surface Mail QC Tracker to a shared repository at the beginning of each quarter.
Qualifications:
High school diploma or equivalent.
Prior experience in an administrative role is preferred.
Strong attention to detail and organizational skills.
Proficiency in email and data entry.
Ability to handle confidential and sensitive information securely and appropriately.
Working Conditions:
Must be able to work on-site from Monday through Friday.
May require lifting and moving of mail items and packages

This is the pay range that Magnit reasonably expects to pay for this position: $16.00/hour-$17.86/hour
