Position Summary

J. J. Keller is looking for an  Administrative Assistant to join our Technology Solutions team! As the Administrative Assistant you will be responsible for completing a variety of duties, including ordering office supplies, submitting facility requests, managing department vendors, creating purchase orders and compiling various reports. 

 

This position will work onsite at our Neenah, WI headquarters and has the flexibility to work at home 2 days/week!

Job Responsibilities

  • Prepares a variety of documents such as correspondence, forms, presentations, reports, and spreadsheets. Reviews for quality and makes adjustments as appropriate.
  • Serves as the main point of contact for the department. Provides procedural guidance and disseminates information inter- and intra-departmentally as directed.
  • Completes special assignments for department which may require collecting, organizing, and analyzing data and producing reports.
  • Schedules meetings, notifies attendees, and makes necessary arrangements.
  • Coordinates travel arrangements.
  • Performs general office support functions such as ordering office supplies, copying and collating documents, distributing mail, answering phones, filing, and maintaining conference rooms.
  • May assist with preparation and analysis of budget and expense reports.
  • May be the assigned forms, documentation, and/or records contact for the department.
  • May represent the department at meetings or in project groups.
  • Maintains confidentiality of information related to clients/customers, vendors, and associates. Ensures documents and information are properly secured at all times.
  • Performs other duties as assigned. Most Administrative Assistant positions have department-specific responsibilities that are unique to the area.

Qualifications

Education:

  • High School Graduate or General Education Degree (GED) Required

Experience:

  • Minimum of 7 years of combined administrative experience and relevant education.

Computer Skills:

  • Proficient with intermediate features of Word, Excel, PowerPoint, and Outlook.

Other Requirements:

  • Strong organizational skills.
  • Interpersonal skills.
  • Ability to work with sensitive information in a confidential manner.
  • Advanced writing skills, focusing on content and readability, in addition to the basics. Able to compose original correspondence and meeting minutes.
  • Intermediate math skills. Able to compile and analyze data.
  • Ability to multi-task and balance multiple/changing priorities.
  • Professionalism.
  • Customer service orientation.

Physical Requirements

Work is performed primarily in a standard office environment and involves operation of personal computer equipment for extended periods of time. Occasional travel to offsite offices, customer sites and/or industry and training events may also be required, depending on assignment.
